Terms and Conditions
Becoming a Member and Payments
1. Membership plan details, including fees and payment dates, are outlined on the website at the time of joining and confirmed via email to the registered email address.
2. Our memberships are available for an initial minimum term of 1 or 12 months. These options are subject to availability at the club.
3. Memberships may be paid in full up front or by monthly Direct Debit. Where payment is made by monthly Direct Debit, a joining fee will be applied and included in the total membership fee.
4. For new members who are paying via Direct Debit, your first payment, including any joining fee, will be paid upfront by card payment. Your recurring payments will then be collected monthly by Direct Debit starting one month after your initial start date.
5. Late Direct Debit payments may result in additional charges for extended credit, administration fees, suspension, cancellation, or referral to a debt collection company.
6. Membership fees may increase with a minimum of 14 days' notice, but not during the initial minimum term.
Products and Services
7. Personal trainers at our clubs are self-employed, and any services they or any third parties provide are agreements between you and them. We are not liable for or responsible for payments made to a personal trainer or third party. Arrangements for PT and other third-party services must be made directly with the trainer or party.
8. Pricing and availability of PT sessions are set by, and at the discretion of, the personal trainers.
9. The group exercise class schedule can be viewed and booked through the V member app.
10. Members no longer able to attend a booked class must cancel at least 24 hours before the start time of the class. Repeated non-attendance of booked classes may result in member's class booking access being revoked.
Freeze your Membership
11. Members may request to freeze their membership after the first month for any reason, for a period of 1 to 3 months, at a cost of £50 per month. All freeze requests must be submitted via email to team@v-london.co.uk or made in person at the club, at least 510 working days prior to the next payment date. Freeze periods align with monthly billing cycles.
12. Medical, relocation, or other acceptable reasons may qualify for a free freeze of 1 to 3 months with evidence provided. Longer free freeze periods will be offered for specific medical reasons, such as pregnancy.
13. Frozen months do not count towards member's initial minimum term.
14. Members who pay upfront can request to freeze by contacting Membership Services on team@v-london.co.uk.
15. A membership cannot be cancelled while it is in a frozen state. Members must first reactivate their membership and remain active for a minimum of one full month before a cancellation request can be processed. Standard cancellation notice periods and any applicable fees will apply from the date of reactivation.
Cancel your Membership
16. To cancel your membership, you must provide at least 1 full calendar month’s notice. Cancellation requests must be submitted via email to team@v-london.co.uk. Your cancellation will be confirmed by email once processed. If you do not receive confirmation, it is your responsibility to follow up with the team.
17. If you pay your membership fees monthly by direct debit, you can cease your membership to coincide with the end of your initial minimum term by giving 1 full calendar months’ notice. Unless cancelled or you opt to take out a different membership plan with effect from the end of the minimum term, your memberships will be renewed into a new contract with the same minimum term.
18. Once your membership is renewed, as a loyalty discount, you can cancel at any time by giving a 1 full calendar months' notice. Depending on your direct debit collection date, this may require you to pay for the period between your direct debit date and cancellation date.
19. If you decide to cancel your membership before the end of the initial minimum term, you have two options. You can either pay the remaining balance for the full term, and your membership will end on the final day of the minimum term, or you can pay a settlement fee to leave immediately, which will include the accrued charge for credit.
20. The settlement fee is the total discount and rate reduction you received through the contract length originally chosen, when compared to the 1-month flexible rate. (For example, you request to cancel after 3 months of your agreed 12-month minimum term. The difference between the 1-month price and 12-month price is £30 per month, so you are required to pay £30 x 3 = £90.) The monthly fees used for the calculation of your settlement fee are the ones that are currently in place.
21. If your circumstances change significantly and make it impossible for you to use your club's facilities (such as for medical reasons, job loss, or moving house further than 5 miles from the club), you can cancel without additional fees or charges for credit. Contact our member services team on team@v-london.co.uk and provide suitable evidence to support (such as doctor's note or notice of termination of employment).
22. To cancel your membership for medical reasons, you will need to give us notice and provide the documents we ask for as proof of the change in your circumstances. Your membership will not be cancelled, or any fees refunded, until this evidence is provided. (Refunds may be considered when a membership has been purchased on a Paid in Full agreement. This does not apply to memberships paid by Direct Debit).
23. Your membership can be cancelled if you violate the Club Etiquette.
24. If you pay your membership fees upfront in one single lump sum, your membership will automatically end once you have completed this term, unless you choose to renew your membership.
Miscellaneous Terms
25. Members must be 18 or older.
26. You agree to consent to have your photograph taken for the purposes of your membership and to comply with our ‘Club Etiquette. Our gym rules are displayed in your club and online. We may change our Club Etiquette if we feel this is reasonably necessary.
27. We may assign the benefit of this agreement and our rights thereunder to a third party on notice to you. Your rights under this agreement will not be prejudiced.
28. On occasions where facilities are unavailable, you will not be entitled to any partial or full refund or compensation. You will also not be eligible for an early cancellation without fees. We will endeavour to advise you in advance, where possible,e unless the issue is urgent. Where possible, we will try to ensure that any such disruptions are in off-peak hours and are kept to a minimum.
29. We will not be liable or responsible for any failure to perform any of our obligations under this agreement which are caused by any event that is outside our reasonable control.
30. Our staff, agents and subcontractors are not medically qualified so if you have any doubts about your fitness or capability to exercise, we strongly recommend that you get advice from a doctor first. For safety reasons, you are responsible for correctly using all club facilities and reading club signs and agreeing to keep to the conditions in the Member Health Pledge, which is available in our clubs and online. We strongly advise that all members complete an induction to the gym, and you should ask for one if we do not offer you one. If you are not sure how to use any equipment, always ask a member of staff.
31. We can transfer all or any part of our rights or responsibilities under this contract to another organisation, but this will not affect your rights under the contract.
Information About Us
32. Clubs operated under the V brand are owned and operated by V Berkeley Square Ltd (company number 15484021), which is a company registered in England and Wales.
33. If you have any questions or complaints, please contact your club’s General Manager or Membership Services on team@v-london.co.uk.
34. We can make reasonable changes to these terms and conditions at any time. Additional terms and conditions might be agreed on specific membership types e.g., corporate, partnerships, promotions etc. Such terms will be shown in conjunction with any offer or agreement and may supersede these terms, which will be agreed in writing.
Lockers & Lost Property
35. Lockers may be available for use by members and guests whilst they are on the club’s premises, subject to availability.
36. Members and guests must ensure that the contents of lockers are removed at the end of their visit. Only members who have paid to hire a locker may have personal items left in their lockers overnight.
37. Lockers remain the property of the club and under no circumstances can be shared with another member.
38. The club reserves the right to open lockers without the member/guest’s permission or the member/guest being present, and to remove the contents if lockers have not been emptied after the member/guest's visit.
39. All bags must be kept in lockers and should not be taken into the fitness areas.
38. Property cleared from lockers, or left on the premises shall be held for a reasonable duration, dependent on storage available onsite. Unclaimed items will be disposed of.
39. V Berkeley Square Ltd will not be held liable for the loss/theft of any belongings.
General Class Booking Terms
40. All group exercise classes can be booked via the V member app. Booking is based on a "first come, first served" basis.
41. Members who book in advance are guaranteed a space at their class, over members who have not booked.
42. Members who choose not to book in advance via the app will not be guaranteed a space in the class.
43. Advance bookings can be made 7 days in advance. All bookings will open at 7:30 am.
44. Classes can only be booked on behalf of the individual booking member.
45. Members will receive an automated confirmation email of successful booking. We advise that this be retained.
46. If the member has not booked, they must let reception know they are attending the class.
47. Bookings are made via the V London app.

49. By accessing and using the class booking system, you indicate that you accept the terms and conditions of the website.
Club Etiquette

When you join our clubs and on your first visit, we will need to take your photograph for health & safety and security reasons.

If you have a medical condition that may put you at risk, you must inform our staff of your condition

To access our clubs, you’ll need to download the V App and swipe in using your personal barcode on every visit.

All guests must sign in at reception before accessing the facilities and are required to provide photographic identification. Failure to provide this may result in the Guest being denied entry to the Club.

Please always wear appropriate gym attire i.e., no bare feet, no bare chests

Safe and appropriate behaviour is always required so as not to jeopardise your safety or the safety of others.

During busy periods, Club users are to use only one weight station at a time.

Please use the weights around the gym with care and refrain from dropping them as it is a safety hazard, damages the kit and disturbs other members

Please be considerate and replace weights on the dedicated racks after use

Any Club users who are unsure of how to use a piece of equipment should seek instruction before doing so. V will not take any responsibility where a Club user sustains injury from incorrect use of equipment.

If any equipment is found to be faulty or malfunctioning, please report this to the V staff immediately.

In the interest of everyone’s cleanliness and hygiene, please wipe down equipment after use

Only food purchased in the club can be eaten on the premises. Please be considerate and eat in the reception/lounge.

We do not tolerate any form of harassment or abuse towards our members, guests, staff, or personal trainers. All Members and Guests must conduct themselves in a respectful manner whilst using our Clubs. Any Club user who acts in an intimidating, abusive, violent, or disrespectful manner may be ejected from the Club, and Members may have their Membership terminated with no refund of fees already paid.

In accordance with the 2010 Equality Act, any conduct or speech that might be considered racist, sexist, homophobic, transphobic, ableist, or otherwise discriminatory will not be tolerated. If you experience or witness any form of discrimination or abuse, please report it to a member of the team or to our Member Services Team

Please keep your valuables with you or always tucked away in a locker.

We are not able to look after anything for you in the club

We want to make sure we have as many lockers available for our members as possible; therefore, please can we ask that you do not leave items overnight, as they will need to be removed

If we need to remove items, rest assured that we always have 2 members of staff to empty a locker, and we will store your items for a reasonable period of time.

You may be able to rent a locker in your club. Please ask your Club Team for more details

Members and guests entitled to 1 towel free of charge per visit. Additional towels are available on request at Reception but are chargeable.

Club property, including towels, toiletries, etc., is provided by the Club as a courtesy to its Members during Club usage only. Removal of Club property from the premises may result in the termination of membership privileges and legal action.

The usage of mobile phones is not permitted in the changing rooms.

If you are using a smartphone, tablet, or other device in the club or as part of your workout it is your responsibility to keep it safe and secure, we encourage you to keep it on you rather than on the equipment.

Please be respectful of other peoples’ privacy when using personal technology in the club. You must get prior permission from all the people who will appear in any photograph you take or video footage you make whilst in club. Retrospective consent should also be obtained where images are accidentally captured, and the image/footage deleted where consent is withheld. If you intend to use an image, then you must explain what it will be used for and who might see it and get the persons consent to do so.

We are aware that filming and photography takes place in our clubs from time to time so if you do not wish your image to be used in any filming or photography by V, please inform a member of the team.

V timetables, instructors and classes are subject to change at any time. V will endeavour to provide notice when a class is unable to take place for any reason.

We recommend that members book in advance, to ensure that a class has space for them.

Members can book online from 7:00am, 7 days in advance of the class.

If you are booked on to a class, we ask that you to access the club at least 5 min before the class starts to ensure we can record your attendance and start the class on time.

If you are late for a class, we may let you join in, but the instructor might ask you to warm up first.

In case you’ve booked a class that you cannot attend, may we please ask that you give us at least 12 hours' notice so that members on the waiting list can get notified and make necessary arrangements.

If you repeatedly cancel late or do not show to your booked class, we may remove temporarily your ability to book classes.

Guests are not able to book studio classes in advance but are encouraged to register at reception when they visit. They may get access to the class based on availabilities.

Swimsuits must be always worn.

Please shower before entering the sauna, cold plunge pool or steam room.

Please use these facilities quietly to ensure all our members can enjoy their experience

Please use a towel whilst in the Sauna, for the health, safety. and comfort of other Club users.

All Club users should thoroughly read the Sauna / Steam room Safety Poster, on display in each area, before use. No other items should be taken into the sauna / steam room, including oils or essences, books, newspapers, or other paper items which can create a fire / burn hazard.

Only V self-employed licensed personal trainers are permitted to undertake personal training sessions in the club

No Club user may bring external personal trainers to the Club or act as a personal trainer, paid or otherwise. V Personal Trainers have been confirmed as holding the required certification and insurance, and as such are the only trainers permitted to work in the Club.

Please respect the closing time of your gym, available on the main entrance and on your club’s webpage, and be ready to leave on time.

If we need to change the club’s opening hours for any reason, we will always aim to give you as much notice as possible.

To ensure your club is fit for use, we might need to close certain areas from time to time, we will always aim to let you know in advance to that you can plan accordingly.
